Data Privacy Notice
LIVIS exists to help people understand how they show up by turning real interactions into meaningful, behavioural feedback. We take privacy, consent, and trust seriously, and we design them into how LIVIS works.
This notice explains what data we process, why we process it, and how we protect it.
Who we are
LIVIS Analytics ("LIVIS", "we", "us") provides behavioural analysis services based on transcripts of real interactions, such as meetings or conversations.
Depending on the engagement:
LIVIS may act as a Data Controller (for direct engagements), or
LIVIS may act as a Data Processor (when working via a consultancy or partner).
The applicable role will be explained to you before any data is processed.
What data we process
We process conversational and behavioural data, which may include:
Written or spoken transcripts of meetings or conversations
Language patterns and behavioural indicators derived from those transcripts
Basic participant information needed to deliver feedback (e.g. name or email address)
We are not interested in the subject matter of conversations. Our focus is on how people communicate and interact, not what they discuss.
How we protect people by default
LIVIS is designed to protect people through secure infrastructure, proportionate safeguards, and clear consent.
By default, we:
Processes transcripts securely within Amazon Web Services (AWS), using Amazon Bedrock, with encryption in transit and at rest
Uses large language models in a private, non-training environment — transcripts are not used to train AI models or shared beyond LIVIS
Focuses analysis on patterns of communication and interaction, not evaluation or monitoring of individuals
Anonymises all team-level outputs by default
Ensures individuals receive their own feedback first and control whether it is shared
Where participants want additional reassurance, confidential or identifying information can be removed or redacted before analysis. Any identifiable analysis is only carried out where an individual has explicitly consented.
How consent works
Before any data is uploaded or analysed, participants receive clear information explaining:
What will be analysed
What will not be done (no surveillance, no monitoring, no reuse)
Who will see the outputs
How data is protected and retained
Consent is obtained explicitly before analysis, usually via automated email communication and a secure confirmation mechanism. Participation is always voluntary, and consent can be withdrawn at any time.
How insights are shared
Individuals receive their own feedback first and control whether it is shared
Teams receive anonymised, pattern‑level insights only
Consultants or organisations see only what participants have agreed to share
LIVIS never shares individual insight without permission.
How long we keep data
We retain data only for as long as necessary to generate feedback and deliver the agreed services. Raw transcripts are retained only for as long as necessary to provide the agreed services and are handled securely in line with LIVIS’s Data Retention Policy. They are not used to train AI models and are not shared beyond the LIVIS platform.
